About the role
Reporting to the Manager, Operations Support, the Team Assistant plays a key role in supporting the day‑to‑day operations of the organisation. This is a hands‑on role where no two days are the same.
You will provide professional, responsive customer service to internal and external stakeholders, while also supporting teams across Housing Services, Asset Management, Finance and Development.
This role suits someone who enjoys being the first point of contact, takes pride in creating a welcoming office environment, and can juggle multiple priorities with care and accuracy.

Key responsibilities

Customer service and office support
  • Manage stakeholder enquiries across phone, email and in person
  • Resolve straightforward enquiries and triage complex matters to the right team
  • Maintain a professional, welcoming reception and office environment
  • Ensure meeting rooms, shared spaces and back‑of‑house areas are organised and well‑stocked
Administration and operations
  • Handle documents, mail, mail‑outs and workflow tasks accurately and on time
  • Coordinate administrative and operational support across multiple teams
  • Take ownership of tasks from start to finish, following through to completion
  • Support smooth day‑to‑day office operations, including supplies and basic IT or SAP issues
  • Coordinate meetings, training sessions, staff events and travel
  • Raise purchase orders and process expenses with strong attention to detail
  • Maintain accurate records in line with policies and procedures
About you

You will bring both capability and care to the role, with a genuine interest in the mission of City West Housing. Applicants from the private sector with a passion for meaningful work are encouraged to apply.
You will ideally have:
  • Cert III in Administration or equivalent experience in an office or operations support role
  • Strong customer service experience, ideally in complex or service‑focused environments
  • Excellent organisational skills and attention to detail
  • Confidence managing competing deadlines and shifting priorities
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office, including Outlook, Word, Excel and PowerPoint
  • Experience in community housing, social housing or property is helpful but not essential
