About the role:
This role reports to the Office Manager and will collaborate closely with the larger Corporate Services team.
You’ll be based at the front desk and be the first friendly (and professional) face and voice for a diverse set of stakeholders, from the general public to suppliers and visitors, and of course, internal stakeholders.
- Greet all residents, contractors and stakeholders warmly and professionally and direct them as appropriate, maintaining a tidy reception area at all times.
- Manage a busy switchboard – escalating enquiries as necessary to the correct stakeholders.
- Processing documents and completing data entry, ensuring accurate record keeping and data privacy and security is maintained.
- Manage the day-to-day office requirements such as meeting room calendars and set up, stocking the kitchen as required, and maintaining an immaculate office presentation.
- Ensure office supplies and stationery are stocked, and process incoming/outgoing mail.
- Supporting with internal team announcements and notices.
Essential criteria:
You will truly enjoy variety in your day-to-day responsibilities, have a natural flair for customer service, and love being the “go-to” person in the office.
- A passion for, and experience in, customer service (this can be from a variety of backgrounds such as call centre, reception, retail or hospitality) setting.
- Intermediate- Advanced Microsoft Outlook, Word and Excel skills.
- Strong verbal and written communications - an exceptional phone manner as well as the emotional maturity and ability to confidently manage relationships with diverse internal/external stakeholders.
- Proven experience navigating a busy environment and proactively calling out for support when needed.
