About the role

The Program & Membership Coordinator will play a key role in providing seamless administrative support across key professional development and Facultyโ€‘related programs during a period of parental leave coverage. In this role, you’ll help ensure continuity of service delivery, maintain regulatory and reporting requirements, and support strong engagement with members, volunteer committees, and key stakeholders.

This position suits an organised, adaptable administrator who is confident working across multiple programs, quickly learning internal systems and processes, and contributing to a positive and professional member experience.

Key responsibilities:
  • Support the effective delivery of the CPD Program, managing member enquiries, coordinating key activities, and assisting with audits and regulatory reporting.
  • Provide high quality Faculty administration across multiple groups, including coordinating meetings, preparing agendas and minutes, and managing communication updates.
  • Maintain accurate CRM records and documentation to uphold data integrity, compliance standards, and audit readiness.
  • Coordinate communication across stakeholders, including Fellows, executives, trainees, government agencies and partner organisations to ensure smooth information flow and timely issue resolution.
  • Assist with registrar rostering and scheduling, including coordination and reporting for a regional initiative program.
  • Contribute to service and process improvements, helping to streamline workflows and enhance the experience for members and stakeholders.

What you’ll bring
  • Demonstrated experience within a memberโ€‘based organisation, with the ability to confidently support, engage, and communicate with a volunteer driven community and committees.
  • A warm, professional customer service approach, comfortable supporting and guiding members on the phone and via email.
  • Strong administrative capability, including CRM experience (preferably Zoho), excellent attention to detail, and the ability to multitask effectively and maintain accuracy in fast paced environments.
  • Experience supporting CPD, education, or structured program workflows, with confidence navigating compliance requirements, documentation processes, and program related administration.
  • A natural coordinator and relationship builder, able to manage smooth communication across stakeholders, support volunteer committees, and contribute to efficient, high quality workflow and member engagement.
  • Proactive, intuitive, and hands on, quick to learn systems and processes, comfortable using tools such as WordPress, and always willing to help the team where needed.
