About the Role
The Operations Specialist sits at the heart of Life Ed Australia, connecting strategy, people and process to keep everything running smoothly and in support of our mission.
This hands‑on role spans ops management, systems and process improvement, governance and compliance, policy admin and project coordination. You’ll also provide high‑level support to the CEO.
You’ll be the go‑to problem solver: spotting issues early, keeping systems sharp, and helping the team deliver programs that reach hundreds of thousands of children across Australia.
To thrive here, you’ll need sharp operational judgement, initiative and a solutions‑first mindset. You’ll switch easily between big‑picture coordination and day‑to‑day delivery and you’ll love making things work better.
Responsibilities of the role:
- Keep day‑to‑day operations running smoothly and improve systems, workflows and processes.
- Maintain key organisational platforms (incl. Salesforce, SharePoint, Teams) and ensure data accuracy and compliance.
- Coordinate policies, governance processes and Board/committee meetings, including papers and minutes.
- Support cross‑functional projects; tracking milestones, risks and deliverables to keep work moving.
- Provide high‑level coordination and admin support to the CEO, including meetings, prep and follow‑through.
- Help build a positive team culture through onboarding, internal comms and staff engagement activities.
Essential Key Selection Criteria
We’re looking for someone who’s been in the operations hot seat before and knows how to keep a busy organisation humming. You’ll be great at juggling priorities, staying calm in the chaos and making things work better than you found them.
You’ll thrive here if you bring:
- Solid experience in an operations or generalist role where you’ve kept people, systems and processes moving in the right direction.
- A natural instinct for improving things, spotting clunky workflows, tightening systems and making life easier for everyone.
- Confidence using CRM and digital tools, ideally Salesforce, plus strong skills across Microsoft 365 (SharePoint, Teams, Excel).
- Experience writing, updating and embedding policies, with a good grasp of governance and compliance.
- Strong project coordination skills and the ability to keep timelines, stakeholders and deliverables on track.
- Excellent communication skills and a knack for producing clear, polished documents and building great relationships.
