About the Role:

As the Office Administrator, you will deliver comprehensive administrative support to the organisation, including managing the central database, with the opportunity to take ownership of the role and make a meaningful impact. Reporting directly to the Chief Executive Officer, you will work closely with the wider team to maintain consistent and effective communication with members.
  
Responsibilities will include:
  • Serve as the first point of contact for phone and email enquiries, ensuring prompt and professional communication with members and external stakeholders.
  • Maintain and manage the organisation’s CRM system (Zoho), ensuring data accuracy, regular updates, and effective reporting, and proactively recommending improvements to optimise system use.
  • Oversee day-to-day office operations, including logistics, procurement, and coordination with building management and external contractors, with a focus on streamlining processes and improving efficiency.
  • Provide administrative support to the wider team, including HR processes, and assist in planning and delivering meetings, events, and internal functions.
  • Uphold compliance with organisational policies and governance requirements, including maintaining and updating internal manuals and procedures.

To be successful in this role, you will be a dynamic and flexible individual with a passion for administrative excellence and stakeholder engagement. You will also have:
  
Exceptional customer service and interpersonal skills, with a proven ability to engage effectively with members and stakeholders and build strong, lasting relationships.
  • Highly proficient in Microsoft Office Suite, with confidence in using a range of CRM platforms (e.g. MS Dynamics, Zoho, HubSpot, Salesforce or similar), and demonstrated expertise in data management, reporting, and system navigation.
  • Strong organisational and time management skills, with the ability to manage competing priorities, multitask efficiently, and work independently.
  • Proactive and solutions-oriented, with a solid track record of identifying and implementing improvements to enhance administrative processes.
