About the Role

You will provide administrative support to the CEO, Membership Manager and Training Manager. To succeed in this role, you will thrive on working collaboratively with highly motivated staff, be thoroughly organised and task focused. You will undertake administrative tasks, ensuring the Training Manager and Membership Manager have adequate support to work efficiently.

You will be expected to communicate with a diverse range of stakeholders with a professional and helpful demeanour at all times.
This essential, hands-on role provides support to the team and members through efficient administration. There will be involvement across a broad scope across membership, training, igital systems and projects.
 
This is a fantastic opportunity to work flexibly while joining a small, close-knit team of four, where collaboration and mutual support are central to how the role operates.
 
 
What You’ll Do  
  • Provide comprehensive office administration and coordination support, including general administrative tasks, event support and project assistance as required.
  • Assist with the development, documentation and maintenance of company policies and procedures.
  • Support national meetings and events, including the annual scientific meeting and trainee meeting (with some travel required).
  • Manage day-to-day office operations, including mail and courier coordination, supplier and property maintenance liaison, stock control and ordering of office supplies.
  • Coordinate in-house meetings, including catering, room setup and pack-down.
  • Support financial reporting, filing and administrative processes.
  • Maintain accurate databases and records, including trainee and membership information.
  • Support trainee administration, including reporting, attendance tracking, assessment grading via an online platform, research sub-committee support, event coordination and website updates related to training and education.
  • Support membership administration, including membership processes, platform maintenance, website updates, member events, subscription invoicing and receipts, CPD reporting, and venue and catering arrangements.

What You’ll Bring   
  • The ability to work efficiently in a fast-paced environment with strong attention to detail.
  • Proven ability to work both independently and collaboratively within a small team.
  • Strong organisational skills, with the ability to prioritise tasks and meet deadlines.
  • A proactive approach and a professional work ethic.
  • Clear and effective communication skills, both written and verbal.
  • A high level of discretion and confidentiality when handling trainee, member, patient, governance, business and financial information.
 
Highly desirable:  
  • Exprience with the IMIS CRM system
