Role responsibilities
The Executive Officer will provide sophisticated, executive-level support to the CEO, the CFO/Company Secretary, and the Board of Directors. Collaborating and communicating effectively within the dynamic environment of a mission driven organisation will be critical in order to achieve strategic objectives.

· Schedule busy diaries on behalf of the CEO and CFO – arranging time and meetings (including travel and accommodation as necessary) and managing workflow (as well as the flow of information) according to strategic objectives.
· Provide broader executive support such as preparing documents, presentations and reports as needed and management of agendas and minutes for leadership team meetings.
· Provide end-to-end Company Secretarial support – arrange logistics, assist with Board and Committee schedules and agendas, papers, registers, managing the Board portal (BoardEffect) and attend meetings to take minutes for review and distribution.
· Supporting Board, Committee and Executive meeting cadence, follow-ups and communications.
· Drafting and reviewing professional correspondence and documentation.
· Preparing meeting rooms, arranging catering and providing real-time technology support during meetings
· Assisting with Board, Committee and Executive onboarding, induction activities and site visits
· Providing administrative support to the broader leadership team as required and in particular the Head of Legal and Governance on legal matters and the People and Culture Manager on Human Resource matters.
· Managing invoice processing, expense reconciliation including credit cards in line with internal procedures
· Provide a high level of customer service by responding to stakeholder enquiries or requests or directing them to the relevant team member in a professional and timely manner.
· Participate in project delivery teams, and otherwise collaborate across the broader team as needed.
· Ensure compliance and accurate record-keeping in the relevant IT systems and maintain a continuous improvement mindset regarding administration and operations policy and procedures.
  
Essential Requirements
You will be comfortable working in a small, tight-knit team and be a passionate collaborator and communicator.
· Robust experience in providing sophisticated and efficient support to C-suite leaders as well as Previous experience of working with Directors and Boards and providing meeting support.
· Technologically savvy with an intermediate - advanced proficiency in Microsoft Office - Word, Excel, and PowerPoint.
· Excellent written and verbal communication style – the ability to tailor this style to different levels of stakeholders.
· A solution-focused, proactive work-style, with the ability to meet deadlines and maintain attention to detail (and keep relevant parties up to date).
· Demonstrated experience displaying confidentiality and professionalism.
