About the organisation

This respected member‑based association plays an important role in supporting and advocating for volunteers across New South Wales. Working closely with government and sector partners, the organisation contributes to advocacy, policy and community initiatives. It also delivers programs that directly support members, including events, sponsorships and scholarships.

The team is collaborative, down‑to‑earth and purpose‑driven, with a genuine focus on supporting volunteers and recognising their contribution.

About the role

Reporting to the CEO, this Executive Assistant role is central to the smooth running of the organisation. You will provide high‑level support to the CEO, President and Board, while also contributing to broader office operations.

Key responsibilities include:
  • Managing the CEO’s diary, travel and meetings
  • Coordinating Board and committee meetings, including travel
  • Preparing agendas, board papers and meeting packs
  • Taking minutes and tracking follow‑up actions
  • Coordinating AGMs and key organisational events
  • Managing the CEO inbox, correspondence and expenses
  • Administering scholarships and awards programs
  • Providing general administrative and event support across the team
  • Acting as the first point of contact for visitors and enquiries
  • Managing incoming mail and office administration
  • Liaising with internal stakeholders, external partners and volunteers.

About you
  • Proven experience in a senior administrative, EA or PA role
  • Experience supporting Boards or committees, including agendas, papers and minute taking
  • Confident managing complex travel and schedules for multiple stakeholders
  • Excellent written and verbal communication skills
  • Experience in a member‑based or for‑purpose organisation, or a genuine interest in this environment
  • Strong stakeholder engagement skills across internal teams, external partners and volunteers
  • Highly organised, detail‑focused and able to manage competing priorities
  • Proactive, positive and adaptable approach
  • Able to support occasional out‑of‑hours requirements, including a very occasional Saturday.
