We’re looking for a highly organised and detail-driven Donations & Database Coordinator to join the team on a 6-month contract.
In this role, you’ll play a critical part in managing donations, maintaining CRM data integrity, and delivering outstanding supporter care. This is a hands-on position suited to someone who thrives in a fast-paced environment and enjoys balancing administrative tasks with stakeholder interaction.
Key Responsibilities
- Process donations end-to-end (sorting, coding, importing, banking and receipting) across multiple payment channels
- Provide high-quality supporter care via phone, email and written correspondence
- Manage shared inboxes and respond to enquiries efficiently
- Maintain accurate CRM data and ensure strong database hygiene
- Import and manage data from third-party suppliers
- Support financial processes including reconciliation of donation income
- Assist with operational administration such as filing, archiving and office coordination
- Identify and implement process improvements and maintain documentation
- Provide system support across CRM, website and communication channels
- Collaborate across teams and assist with onboarding/training where needed
You’re a proactive and detail-oriented professional with a passion for customer service and data accuracy.
Essential Experience
- Customer service or public-facing experience (phone-based highly regarded)
- Experience using CRM systems (MS Dynamics 365 preferred)
- Strong Microsoft Office skills, particularly Excel, Outlook and Teams
- Fast and accurate data entry skills
- Excellent communication skills with a warm, empathetic approach
- Strong attention to detail and high level of accuracy
- Problem-solving mindset with the ability to prioritise tasks
- Strong time management and ability to meet deadlines
- Collaborative team player with strong relationship-building skills
- Experience in the not-for-profit or NGO sector
- Previous administrative or support role experience
- Experience working in fast-paced, high-volume environments
- 6-month full-time contract (office-based role in Sydney CBD)
