The Role:
   
As a Customer Service Team Coordinator, you’ll be responsible for delivering exceptional customer service across Cyclomedica, ensuring the seamless coordination of activities and providing support across the Sales, Service, Operations, and Administration teams.
   
The responsibilities of the role include:
  • Assist with reception, telephone, and visitor management, and handle incoming customer enquiries.
  • Work collaboratively with customers and with Sales, Service, Operations, Administration, Head Office, and global teams.
  • Coordinate and respond to customer queries, including distributing and following up on customer information and notifications.
  • Assist with preparing customer proposals, agreements, and tenders.
  • Support sales and purchase order processes (local and international), including order entry, processing, supplier placement, order status, stock receipt, dispatch, invoicing, and shipping documentation.
  • Maintain and update customer records, licences, CRM systems, and general administrative filing/recordโ€‘keeping.
  • Provide Executive Team support (meeting preparation, coordination, contracts, documents, reports, file administration, communication, events).
  • Provide NetSuite support, including data entry, reconciliation, inventory receipt, and related accounting/AR duties.
  • Assist with reporting monthly sales tasks, general administration duties, active proposals, and open/back orders.
  • Assist with conference preparation and coordination.

About you
  • Advanced computer skills with strong knowledge of MS Office.
  • Experience in an office administration environment, including understanding of clerical procedures, administrative systems, and basic office management principles.
  • Exceptional written and verbal communication skills.
  • Flexible, adaptable, and hardworking.
  • Proactive attitude with the ability to work autonomously.
  • Strong ability to prioritise, plan, organise, and solve problems.
  • Skilled in information gathering and monitoring.
  • High attention to detail and accuracy.
  • Ability to work collaboratively as part of a team.
