The Role:
  
In your role, you will be responsible for providing a wide range of administration support activities to ensure smooth operations for the Sales, Service, and Administration teams within Cyclomedica.
   
The responsibilities of the role include:
  • Manage reception, calls, and visitor enquiries.
  • Maintain office essentials and sharedโ€‘space tidiness.
  • Update and manage customer records, licences, and CRM data.
  • Handle general administrative duties and recordโ€‘keeping/filing.
  • Prepare customer proposals, agreements, and tenders.
  • Process customer orders, including supplier placement, order status, stock receipt, dispatch, invoicing, and shipping (local & global).
  • Share key customer feedback with internal teams.
  • Coordinate and respond to customer queries.
  • Provide Executive Team support, including meetings, documents, reports, communication, and events.
  • Assist with monthly sales reporting (tasks, proposals, open/back orders).
  • Assist with conference preparation.
  • Enter and process details in NetSuite (or alternative systems).
  • Support local and international sales and purchase order processing.
  • Assist with accounts receivable tasks, handle expense reimbursements, and general accounting duties as required.
  
About you

  • Intermediate computer skills and MS Office knowledge.
  • Experience in office administration with knowledge of clerical/admin procedures and office management basics.
  • Excellent written and verbal communication.
  • Flexible, adaptable, and hardworking.
  • Strong ability to prioritise, plan, organise, and solve problems.
  • Skilled in information gathering and monitoring.
  • Attention to detail and accuracy.
  • Ability to work collaboratively as part of a team.
