This is a detail-driven role supporting the coordination and administration of multiple regional forums/committees, alongside providing executive and team support
Key Responsibilities
- Coordinate the effective management of regional forums across multiple states in collaboration with stakeholders
- Plan and schedule meetings in line with annual calendars, coordinating with state teams and key stakeholders
- Manage the end-to-end meeting process, including invitations, diary coordination, room bookings, virtual participation, catering, and onsite requirements
- Prepare, format, proofread, and distribute meeting agendas and packs via an online portal (Dilligent)
- Maintain accurate records, registers, email distribution lists, and ensure CRM and internal systems are up to date
- Support the preparation of documentation including letters of appointment, induction materials, and onboarding/offboarding processes for committee members
- Maintain meeting portals and ensure all relevant documents and information are current and accessible
- Liaise with internal support functions to ensure seamless meeting delivery
- Act as the first point of contact for regional forum-related queries and communications
- Track actions and ensure follow-ups are completed within required timeframes
- Provide executive support including diary and meeting coordination for a senior leader
- Support broader team administration, including scheduling meetings and assisting with team coordination
- Contribute to additional activities and projects, including supporting regional events and scholarship program administration where required
- Proven experience in a coordination, committees, or executive support role within a large organisation
- Background within a not-for-profit, corporate, or professional services environment is highly regarded
- Strong organisational skills with the ability to manage multiple priorities and deadlines
- High attention to detail, particularly when working with documentation and meeting materials
- Confident liaising with a range of internal and external stakeholders
- Strong written and communication skills
- Proactive, reliable, and comfortable working in a structured, process-driven environment
