The Role
Reporting to the General Manager, Operations & Company Secretary, the Governance & Operations Officer provides reliable governance, finance and business services administration, supporting the Company Secretary and Operations function to deliver effective, accurate and well-managed organisational services.
  
This newly created role supports recurring administrative processes across Board and Risk & Audit Committee secretariat support, transactional finance, procurement and contracting, and broader business services. It is well suited to a proactive and highly organised professional who enjoys variety, takes ownership and can confidently engage with senior stakeholders while maintaining exceptional attention to detail.
   
The Responsibilities of the Role Include:
  • Coordinating Board and Risk & Audit Committee meetings, including agendas, papers, minutes, action tracking and governance records.
  • Managing Board travel, accommodation and meeting logistics.
  • Supporting procurement processes, contract administration, approvals and renewals.
  • Maintaining contract registers, records and commercial documentation.
  • Processing accounts payable activities, invoices, reconciliations, expenses and purchase orders.
  • Supporting vendor onboarding, corporate credit card administration and basic bookkeeping functions.
  • Supporting workplace services, operational projects and business support activities.
  • Maintaining accurate records across finance, CRM, project management and document management systems.
  • Identifying opportunities to improve administrative processes, systems and workflows.
  • Supporting workplace health and safety initiatives, including potential to act as a First Aid Officer.
Essential Criteria/About You:
  • A proactive, solutions-focused approach with the ability to identify opportunities for continuous improvement.
  • Demonstrated experience in administration, operations, executive support, governance support or business support roles.
  • Willing to travel interstate at least 4 times a year for board-related events and local engagement activities.
  • Experience coordinating meetings, preparing papers, note-taking and maintaining records.
  • Strong attention to detail with excellent organisational and prioritisation skills.
  • Confidence communicating and dealing with senior stakeholders.
  • Strong written communication skills with the ability to produce professional documentation and correspondence.
  • Tech-savvy with confidence learning new systems and technology platforms.
  • Previous finance administration experience, including accounts payable/receivable, invoices, reconciliations or bookkeeping will be highly regarded.
