About the Organisation:

Grain Trade Australia (GTA) is the leading industry body supporting Australia's grain supply chain and commercial grain trade. Working with members across storage, trading, logistics, processing and exporting, GTA plays a critical role in maintaining industry standards, facilitating trade and delivering services that support the broader grain industry.

About the role:

This is a broad and hands-on position responsible for the smooth running of the organisation's finance, governance, operations, and member services functions. Working closely with leadership and the Board, you will oversee financial administration, compliance, and corporate governance while managing day-to-day business operations, systems, and office support.

You will also play a key role in delivering events, training programmes, and member engagement activities, ensuring an exceptional experience for members and stakeholders. This is an opportunity to make a meaningful contribution across all areas of the organisation and drive continuous improvement initiatives that support long-term success.

Key areas of responsibility include:

Finance & Corporate Administration   
  • Oversee all financial administration, including budgeting, payroll, reporting, invoicing, subscriptions, membership management, and corporate insurance.
  • Coordinate month-end reporting, audits, and compliance activities to ensure sound financial governance and regulatory adherence.
Governance & Company Secretariat      
  • Coordinate Board and committee meetings, including agendas, papers, minutes, governance processes, and Director support.
  • Manage ASIC and statutory compliance requirements, while coordinating Director logistics, travel, and administrative support.
Business Operations & Systems      
  • Lead day-to-day office operations, driving continuous improvement initiatives to enhance efficiency and organisational performance.
  • Manage business systems, IT providers, staff onboarding, and key platforms including Salesforce and EventsAir to ensure seamless operational support.
Events, Training & Member Services     
  • Support the delivery of conferences, webinars, and training programs, coordinating registrations, scheduling, and event logistics.
  • Manage member enquiries and engagement initiatives, ensuring a positive member experience and strong stakeholder relationships.

What you’ll bring:  
  • Demonstrated experience in business operations, corporate services, office management, or a similar role within an association or for-purpose organisation.
  • Experience supporting governance, Board, and company secretarial functions, including compliance and stakeholder engagement.
  • Strong financial administration, budgeting, and reporting capabilities, with the ability to support organisational decision-making.
  • Strong systems and technology capability, including Salesforce, EventsAir, and MYOB, with the ability to optimise processes and support business outcomes.
  • Highly organised, with excellent attention to detail and the ability to manage multiple priorities in a fast-paced environment.
  • Proactive, adaptable, and solutions-focused, with a positive, can-do attitude, strong initiative, and a commitment to continuous improvement.
  • High emotional intelligence, with outstanding stakeholder management skills and the ability to build trusted relationships at all levels.
