We are delighted partner with Foodbank Australia as they search for a proactive and highly organised Executive Assistant to support the CEO and Executive Leadership Team. This newly elevated role offers the opportunity to take ownership of executive support, board coordination, governance administration and process improvement while helping modernise administrative systems and ways of working across the organisation. 

This is much more than a traditional EA position. You'll become a trusted partner to senior leaders, helping streamline operations, improve processes and leverage Microsoft 365 tools to enhance efficiency across the business.

The Opportunity
Reporting directly to the CEO, you'll support the CEO, CFOO and CMEAO while acting as a central point of coordination across the Executive Leadership Team and Board. You'll ensure governance requirements are met, board activities run seamlessly and key organisational systems and records remain accurate and up to date. 

Key responsibilities:
  • Providing executive support to the CEO and Executive Leadership Team
  • Coordinating calendars, meetings, travel and executive priorities
  • Preparing agendas, taking minutes and managing action registers
  • Coordinating Board meetings and maintaining governance documentation
  • Managing and administering the OnBoard governance platform
  • Maintaining organisational contracts, policy registers and compliance records
  • Supporting internal projects and cross-functional initiatives
  • Managing organisational systems, databases and SharePoint environments
  • Identifying opportunities to automate manual processes and improve administrative workflows
  • Supporting organisational events, stakeholder communications and executive reporting activities
About You
You are a confident and resourceful Executive Assistant with excellent judgement, exceptional communication skills and the ability to proactively identify opportunities for improvement.
You'll bring:
  • 4-5+ years' experience in an Executive Assistant, Board Coordinator or senior administration role
  • Proven experience supporting executives and senior leadership teams
  • Experience coordinating Board meetings, preparing papers and taking accurate minutes
  • Strong governance, compliance and records management experience
  • Advanced Microsoft 365 capability, including SharePoint, Teams, Forms, Loop and other collaboration tools
  • Excellent written communication and grammar skills, with strong attention to detail
  • Experience improving processes, automating tasks and introducing efficiencies
  • Ability to manage multiple priorities and operate with minimal supervision
  • Experience with OnBoard or similar Board management platforms will be highly regarded
  • Willingness to travel occasionally for Board meetings and organisational events.
