Community Project Officer
Our client is a purpose led not for profit organisation working to improve outcomes for consumers across Australia.

Following significant growth and investment, the organisation is going through an exciting period of change, including the introduction of new CRM, project management and records management systems.

As part of this growth, they are looking for a highly organised and tech confident Community Project Officer to join their Community team and provide the operational support that keeps projects, systems and initiatives running smoothly.

The Role
This is a varied, hands-on coordination role for someone who loves systems, processes and making things work better.
Working closely with the Grants Manager and wider Community team, you will coordinate a portfolio of approximately 30 funded projects, helping to manage contracts, milestones, reporting and project information. You will also provide coordination across meetings, events, sector initiatives and broader team activities.

We are looking for someone who is naturally confident with technology, quickly becomes the go to person for systems and takes pride in keeping information, projects and processes organised and accurate.

You will:
  • Become a superuser across the team’s systems, including CRM, project management and records platforms
  • Coordinate project contracts, milestones, reporting requirements and follow ups
  • Maintain accurate project information, trackers, records and workflows
  • Provide proactive coordination support across meetings, diaries, travel, papers and actions
  • Coordinate logistics for events, roundtables and stakeholder initiatives
  • Build relationships with community organisations, project partners and internal stakeholders
  • Identify opportunities to improve processes, templates and ways of working
  • Support grants administration, with training provided
  • Work collaboratively across different teams and gain exposure to a broad range of organisational initiatives

About You
You will bring:
  • Strong technology and systems capability, with the confidence to quickly learn new platforms
  • Exceptional organisation and attention to detail
  • A genuine focus on accuracy, process and quality control
  • Initiative and the ability to see what needs to happen next
  • Confidence managing multiple projects, deadlines and competing priorities
  • A process improvement mindset and interest in making things work more efficiently
  • Strong communication and stakeholder coordination skills
  • A collaborative, flexible approach and willingness to get involved wherever needed
Experience using CRM, project management or records management systems will be highly regarded. Exposure to platforms such as HubSpot, Smartsheet, SharePoint, SmartyGrants or similar would be advantageous, but specific platform experience is not essential.
