Exciting opportunity for an Intermediate-Senior level Legal Secretary to join a leading Law firm based in the Sydney CBD.
Permanent Position
Salary up to $75K-85K  Depending on experience
Full time hours: 8.30am-5.00pm with flexibility

Due to continued growth and expansion plans our client is seeking an Experienced Legal Secretary to join their plaintiff compensation practice. The role will be joined a fast paced, focused, fun team who are at the top of their game and enjoy celebrating their fantastic results.
Core duties will include:
Duties and responsibilities may include drafting correspondence, preparing notice of claims, drafting ARD’s, scheduling appointments and conferences, drafting pleadings, organising and maintaining paper and electronic files of clients, providing information to callers and ensuring the workflow of matters progress (under the supervision and instruction of a Solicitor).

Tasks may include;
  1. Practice management;
  2. Monitor all incoming emails – ensure they are filed, saved and delegated;
  3. Update client files with incoming mail and process correspondence accordingly;
  4. Circulate correspondence according to information received and ensure matter related filing is managed across the practice;
  5. Management of section by planning work for the team, allocating tasks to other members of the team, provide training for team members, monitor individual performance and performance of the team
  6. Actively assisting the team to ensure efficient work practices are maintained.
  7. Monitor and review all files regularly - ensure they are up to date
  8. Liaise with clients, barristers, courts, doctors for information/ scheduling/ provision of information etc
  9. Book appointments, conferences, mediations, settlement conferences, conclaves etc
  10. Prepare files for hearing- briefs, tender bundles, schedules, settlement documents
  11. Prepare pleadings for district, supreme and federal court- consent order, short minutes, affidavits
  12. Billing- prepare invoices, trust account authorities
  13. Drafting of documents
  14. Draft letters to clients/third parties as necessary
  15. Diary management
  16. Ensure workflows for matters are updated and maintained
  17. Diarise and monitor time limitations
  18. Ensure matters are closed and prepared for archiving
  19. Actively assisting the team to ensure efficient work practices are maintained.
Skills & Experience required:
We are looking for a down to earth individual that is diligent and professional with excellent attention to detail and an ability to work autonomously while also completing set and routine tasks efficiently. The successful candidate will have had experience primarily within a law firm at an entry level or above.   1. Strong experience working in a law firm with a strong administrative background;
  2. Experience working with Motor Vehicle Accident or Public Liability claims would be ideal;
  3. Competent with Microsoft Office suite;
  4. Diary management and Outlook;
  5. Excellent typing and document drafting skills;
  6. Team-working skills;
  7. A pro-active ability to maintain high quality work with attention to detail;
  8. Strong interpersonal and communication skills;
  9. Advanced troubleshooting and multi-tasking skills;
  10. Ability to work independently and organise their workload to meet tight deadlines;
  11. Motivation and communication confidence a must;
  12. An ability to apply compassion and empathy with clients;
  13. A sense of professionalism, tact, discretion & diplomacy.
